About Bhatbhateni

Bhat-Bhateni Supermarket Pvt. Ltd. is Nepal’s largest supermarket chain and one of the country’s most recognisable retail organisations. Founded by Mr. Min Bahadur Gurung as a single grocery store in Kathmandu in 1984, it grew through sustained investment in infrastructure, supply chain and customer experience into a nationwide, large-format retail business.

Today the chain operates more than 28 supermarkets, employs over 8,000 people, and serves millions of customers every year. It manages tens of thousands of SKUs (stock-keeping units) spanning fresh produce, groceries and FMCG, electronics, apparel, cosmetics, household goods, pharmaceuticals, imported foods and lifestyle products. An operation of that scale processes thousands of inventory movements a day, supplier receipts, inter-branch transfers, retail sales, returns, damages, expiries and physical counts,  where even small inaccuracies ripple straight into procurement, margin and customer experience.

The Challenge

As Bhat-Bhateni expanded, the inventory backbone that had served a handful of stores could no longer keep pace. Most stock activity was captured manually or across disconnected systems, and each new branch multiplied the problem. The recurring pain points were consistent and measurable in their impact:

  1. Duplicate manual recording: Every supplier receipt updated by hand, with warehouse teams keeping paper records and accounting re-keying the same data separately.
  2. No real-time visibility: Management relied on historical reports rather than a live view of warehouse stock, branch stock, product availability and inventory movement.
  3. Slow, ad-hoc stock adjustments: Damages, expiries, shrinkage, supplier shortfalls and counting errors each needed manual investigation before records could be corrected, with no standard workflow or audit trail.
  4. Multi-branch coordination: Coordinating stock across the central warehouse, regional warehouses and individual supermarkets without centralised visibility was error-prone and labour-intensive.
  5. Procurement on guesswork: Purchasing driven by historical estimates led to overstocking, stock-outs, emergency buying and higher carrying costs.
  6. Painful reconciliation: Matching inventory to cost of goods sold, valuation and tax records demanded extensive manual effort each period.

Why Genese Solution?

Bhat-Bhateni chose Genese Solution over both alternative vendors and the option of continuing manually, for reasons that come down to delivery credibility rather than a feature list:

  • Local delivery presence, a team on the ground in Nepal that understands local retail operations, supplier practices and the country’s tax and compliance environment, rather than a remote vendor delivering at arm’s length.
  • Retail inventory expertise, genuine domain depth in inventory, stock adjustment and multi-branch retail ERP, not a generic system bent to fit.
  • End-to-end ownership, one accountable partner covering inventory, procurement, warehouse, POS, finance and reporting on a single platform, so the moving parts actually connect.
  • A partner for the long run, a platform and a partnership built to scale with an aggressively growing chain, not just to solve the problem in front of it.

The Solution

Genese Solution implemented an integrated Retail ERP platform that connected every inventory-related process into one enterprise ecosystem. Instead of separate operational records per department, everyone now works from a single centralized inventory database ,  directly answering the duplication, visibility and reconciliation pains above. Each capability maps to a challenge rather than existing for its own sake:

  • Procurement & warehouse receiving:  POs raised electronically and verified against supplier deliveries before stock is accepted; every receipt captures SKU, batch, barcode, quantity, supplier, cost and location, and updates inventory instantly. (Removes duplicate manual recording.)
  • Centralized inventory & transfers:  live tracking of available, reserved, damaged, expired, slow- and fast-moving stock, with inventory age, plus digital inter-branch transfers that update both locations automatically. (Removes the multi-branch blind spot.)
  • Stock-adjustment automation:  a standardized workflow: physical count → variance report → root-cause analysis → supervisor review → approval → inventory update → accounting adjustment → audit trail, covering damages, expiries, shrinkage and corrections. (Replaces ad-hoc investigation.)
  • Retail POS integration:  every sale deducts stock automatically, and returns are inspected before records update, keeping the inventory position accurate in real time. (Ends manual stock reduction.)
  • Automated reconciliation:  automated matching across POs, deliveries, warehouse and branch stock, sales, transfers, returns and accounting records. (Collapses period-end reconciliation.)
  • Reporting & BI:  real-time dashboards on inventory valuation, gross margin, product movement, dead stock, turnover, ageing and supplier performance. (Turns procurement from estimate-based to data-driven.)

Partnership in Action

Delivery followed a deliberately phased approach, designed to modernise a live, mission-critical retail operation without disrupting daily trading:

  • Business process assessment and requirement analysis across warehouse, retail and finance teams.
  • Retail workflow mapping and ERP configuration to Bhat-Bhateni’s real operating model.
  • Master data preparation and controlled data migration from existing records.
  • System testing, followed by a pilot rollout at selected sites to prove the workflows in the field.
  • Hands-on user training, then staged enterprise deployment across the branch network.
  • Continuous post-go-live support as new branches and requirements came on stream.

This phased method minimised business disruption, secured user adoption, and ,  crucially for a Nepal-based rollout of this scale ,  proved that Genese Solution can execute on the ground, not just supply software.

Results & Impact

The implementation moved Bhat-Bhateni from manual, branch-siloed inventory to centralized, real-time, audit-ready control ,  and the platform has since scaled with the business to become Nepal’s largest retail chain.

Dimension Before After Change
Inventory visibility Historical reports; no live view across branches Real-time dashboards across all 28+ branches & warehouses Reactive → real-time
Stock records Manual, paper-based, duplicated across departments Single centralized inventory database Fragmented → unified
Stock adjustments Ad-hoc manual investigation, no standard process Standardized approval workflow with full audit trail Untracked → traceable
Reconciliation effort Extensive manual matching of POs, deliveries & sales Automated reconciliation across all inventory streams Days → minutes*
Procurement basis Estimates from historical reports Live inventory-driven, data-based purchasing Guesswork → data
Scalability Strained with every new branch opening Same platform scaled to Nepal’s largest chain Limited → scalable

How the Relationship Grew?

What began as an inventory and stock-adjustment initiative became the digital backbone of the entire retail operation. Over the course of the partnership the platform expanded well beyond its first footprint:

  • From a first rollout to the whole network, the same platform grew from its initial sites to support 28+ supermarkets nationwide, without re-platforming.
  • Broadening scope,  procurement, warehouse management, retail POS, finance, barcode management, inventory valuation and business intelligence were progressively brought onto one system.
  • Scaling with the business,  as SKUs, transaction volumes and branches multiplied, the platform absorbed the growth rather than constraining it.
  • A partner, not a one-off vendor,  the relationship became a sustained, multi-year partnership, with the roadmap now pointing toward AI-driven demand forecasting, predictive replenishment and RFID-enabled tracking.

The takeaway for any prospect: this is not a supplier that installs and leaves. It is a partner that keeps adding value as the business changes.

What This Means to You If You Are Looking for Something Similar To This?

Your starting point today is the one Bhat-Bhateni had before this journey began: paper drawings and BOMs, manual mark-ups, and stock adjustments keyed by hand into Exchequer,  with no real-time view of what has actually been consumed on the factory floor.

Genese Solution turned exactly that pain into real-time, audit-ready inventory control for a business running tens of thousands of SKUs across 28+ sites. Electronic capture of component usage from Creo drawings and BOMs, validated automatically and posted to Exchequer through middleware, with substitute parts tracked end-to-end, can replace manual transcription with a single source of truth.
