Building a Connected Distribution Ecosystem for Nestlé Nepal
How Genese Solution connected inventory, distributor operations and field sales across a nationwide distribution network
We helped establish a centralized digital distribution environment connecting more than 75 distributors and 150 field sales users across Nestlé Nepal’s distribution network.
The engagement replaced fragmented inventory records, disconnected field-sales processes and manually consolidated reporting with an integrated platform for inventory visibility, digital order capture, secondary-sales reporting, stock reconciliation and management oversight.
Genese Solution led the solution design, software development, workflow automation and systems integration. IMS Software collaborated as the FMCG domain and local technology partner, contributing industry expertise, local operational knowledge and implementation support.

The Challenge
Nestlé Nepal operates through a complex ecosystem of distributor warehouses, field sales teams and retail outlets.
As the network expanded, inventory and sales information remained distributed across independently managed and partially manual processes. Distributor stock records were maintained separately, field orders were captured through disconnected workflows, and reconciliation required significant administrative effort.
This made it difficult to maintain a timely and consistent view of:
- Distributor inventory and product availability
- Secondary sales and retailer activity
- Returns, damages and stock variances
- Product movement and market demand
- Replenishment requirements
- Consolidated management reporting
Nestlé Nepal required more than a standalone inventory application. It needed a connected digital platform capable of standardising inventory and sales operations across its distribution network.
The Solution
Genese Solution designed and developed an integrated Distribution Management System and Sales Force Automation platform connecting central management, distributors, warehouse teams and field sales representatives.
Drawing on its experience in enterprise software engineering, mobile transaction capture, workflow automation and systems integration, Genese Solution created a structured digital environment covering the inventory and sales lifecycle.
The platform enabled teams to:
- Record and monitor distributor inventory
- Capture retailer orders digitally
- Validate stock availability before confirming orders
- Update inventory following fulfilment
- Track secondary sales
- Manage returns, damages and inventory variances
- Access consolidated distributor and retailer information
- Generate centralised operational reports
The implementation replaced disconnected information flows with structured and traceable digital transactions.
Connecting Inventory and Field Operations
Products received at distributor warehouses were digitally recorded against relevant details, including SKU, quantity, batch and warehouse location.
Field representatives captured retailer orders through a mobile sales application. Available stock was validated before confirmation, helping align sales activity with actual inventory availability.
Once an order was fulfilled, the corresponding inventory position was updated, and the transaction became available for secondary sales and management reporting.

Replenishment
The platform also introduced controlled workflows for sales returns, damaged or expired products, delivery differences, warehouse variances and promotional stock adjustments.
Each adjustment followed a defined process:
Verification → Variance Review → Investigation → Approval → Inventory Update → Audit Trail
This preserved the reason, user and approval history behind each inventory change, strengthening accountability and transaction traceability.
