From Manual Stock Records to Enterprise-Scale Inventory Control
How Genese Solution connected inventory, retail transactions and financial records across a growing store network
As SalesBerry expanded across supermarkets, express stores and cash-and-carry operations, handwritten stock registers and disconnected bookkeeping could no longer provide the visibility, consistency and control required by the business.
Genese Solution led the transformation through solution architecture, software engineering, workflow digitisation and systems integration, establishing a centralised platform for purchasing, inventory movement, retail sales, stock adjustments, reconciliation and reporting.
IMS Software collaborated on the engagement, contributing retail-operations expertise, local implementation knowledge and long-term application support.
Delivered within approximately six months, the platform has supported SalesBerry’s growth for more than two decades and continues to operate across more than 33 retail locations.

The Challenge
SalesBerry manages thousands of products moving continuously between suppliers, warehouses, stores and customers.
As transaction volumes and store operations expanded, four issues began to limit operational control:
- Limited inventory visibility: Management lacked a consolidated view of stock availability, product movement and inventory status.
- Manual stock adjustments: Differences identified during physical counts required manual comparison, calculation, approval and bookkeeping updates.
- Complex reconciliation: Purchase, sales, inventory and financial records had to be reviewed across disconnected processes.
- Increasing operational burden: Every additional location increased the effort required to maintain accurate and consistent stock information.
SalesBerry required more than an electronic stock register. It needed one operating platform connecting physical inventory, retail transactions and financial records.
The Solution
Genese Solution developed a centralized inventory management and bookkeeping platform covering the complete stock lifecycle from supplier receipt and internal movement to retail sales, stock adjustment and financial reporting.
The platform brought together:
- Supplier purchasing and product receiving
- Centralised product and SKU records
- Warehouse and internal stock movements
- Retail sales transactions
- Physical stock verification
- Inventory adjustments and approvals
- Bookkeeping and inventory valuation
- Management reporting
Products received from suppliers were recorded through structured purchase documents. Retail transactions updated the corresponding inventory position, while internal transfers created a traceable history of stock movement across the business.
Inventory Workflow
Purchase Receipt → Inventory Update → Stock Availability → Retail Sale → Stock Deduction → Reporting → Replenishment
The result was one reliable operating record connecting purchasing, inventory movement, sales, and financial reporting.
Controlled Stock Adjustments
A structured stock-adjustment workflow replaced informal inventory corrections. When physical stock differed from the system record, authorised users followed a defined process:
Each adjustment retained the affected item, quantity, variance reason, responsible user, approval history and resulting inventory change. This strengthened accountability and made stock differences easier to investigate, approve and reconcile.
Business Outcomes
The strongest evidence of the platform’s value is its longevity and ability to support continued expansion.
Key outcomes included:
- Centralised access to inventory information
- Stock records updated through purchase and sales transactions
- Standardised inventory-adjustment and approval processes
- Greater traceability across stock corrections
- Stronger alignment between inventory and bookkeeping records
- Reduced dependence on handwritten registers and manually prepared reports
- A scalable operating foundation for continued retail growth
The platform moved SalesBerry from fragmented stock records to a controlled inventory environment capable of growing with the organisation.
Built for Operational Control and Long-Term Growth
The SalesBerry engagement demonstrates that inventory digitalisation is not simply about replacing paper with software.
It is about creating one reliable record for every purchase, movement, sale and adjustment, and ensuring that operational activity remains aligned with financial records.
By combining Genese Solution’s architecture, engineering and integration capabilities with IMS Software’s retail expertise and implementation support, the engagement established a platform built for operational control, traceability and long-term scale.
