At Genese Solution, we believe inventory problems rarely begin in the warehouse; they begin on paper. When Gorkha Brewery, one of Nepal’s largest manufacturers and now owned by Carlsberg Group, needed real-time visibility across a fast-growing national distribution network, we partnered to replace manual, paper-based stock recording with automated digital capture.

The challenge

As the distribution network grew, inventory data lived on paper, in spreadsheets, and across 250+ distributors,  rarely in real time. Three problems followed:

  • Manual transcription slowed updates and introduced errors.
  • Reconciling returns, damages, and variances was labour-intensive.
  • Substitute products were issued but not consistently recorded.

Automated Data Capture & System Integration

The central goal was to move Gorkha Brewery away from paper-based inventory recording and manual transcription toward real-time, automated digital capture. Genese Solution introduced electronic capture at the point of activity, supported by document recognition and a validation layer, so that stock data reached the system of record accurately.

Inventory movements were captured electronically as they happened, using:

  • Barcode scanning at goods receiving and dispatch
  • RFID-enabled tracking for high-volume and returnable stock
  • Mobile and tablet capture for warehouse and field sales teams
  • Automatic transaction posting in place of hand-written records

OCR / AI document recognition & validation 

OCR and AI-assisted recognition extracted the data automatically from physical documents with handwritten notes, order sheets, and returns paperwork. Each captured transaction then passed through a validation checkpoint before posting, ensuring accuracy and removing the transcription errors of manual entry.

Integration with existing systems

Rather than replacing the company’s established enterprise systems, Genese Solution integrated with them. Where a system did not expose a native API, a dedicated middleware layer was deployed to synchronize inventory and transaction data reliably in both directions, connecting shop-floor and field capture to back-office records without disrupting live operations.

Substitute product management

The platform tracked substitute and alternate products explicitly. When a substitute was issued against an original SKU, that linkage was recorded and reflected in stock balances and reconciliation, giving management clear visibility of substitute movement and preserving inventory accuracy.
